Contractor preparation

Find the missing document before the contractor reaches the gate.

Safety Figure connects a contractor's company, people, vehicles and required document sets with the relevant workplace. Reviewers and gate teams can see the status relevant to their responsibilities before work begins.

Example: a planned production shutdown

Several maintenance contractors are due on the same morning. Assign the document set for each job in advance, identify the reviewer and follow missing or expiring records. The gate team can check the relevant preparation status without needing broad access to every contractor file.

Give each record a review path

Register the contractor and the people or vehicles expected on site. Assign a reusable document set, including validity requirements and responsible reviewers. Track what is missing, submitted, awaiting review, rejected or approved.

  • Define the contractor's job and workplace.
  • Assign the documents required by your own process.
  • Review submissions and give the gate team the access needed for entry checks.

Test the process with one contractor

Include the contractor contact, document reviewer and gate user in a limited pilot. Check an expired file, a replacement version and a rejected submission as well as a successful review. Your organisation defines which documents are relevant; their presence in the system is not a universal approval of the contractor's work.

Does uploading a document mean it is approved?

No. Uploading and approval are separate states. The assigned reviewer checks the submitted version, and the gate team uses the status within its own entry-control responsibilities.
