Briefing, host approval and entry
Prepare the visit before the visitor arrives.
Safety Figure brings your site's visitor briefing, host approval and gate records into one flow. Track expected visitors, people recorded as on site and completed visits using the entry and exit information entered by authorised staff.
Example: a supplier visiting the production floor
Before the visit, provide a short site-specific video and questions covering the route and relevant restrictions. The host reviews the visit, while reception can see which preparation steps remain. At arrival and departure, the gate team records the times against the same visit.
Keep three decisions separate
Publish the briefing and question set, identify the host and visit details, and follow completion. Host approval and the gate team's checks remain separate from answering the questions correctly.
- Prepare the visit and the information appropriate to that site.
- Review briefing completion and host approval.
- Record entry and departure through authorised gate users.
Try the full visit, including changes
Pilot one visit type with a visitor, host and receptionist. Check the language and clarity of the briefing, what happens when an arrival changes and who corrects a missed departure. The on-site list depends on accurate entry and exit records; it is not an independent position-tracking system.
Does passing the briefing test allow automatic entry?
No. The briefing is one preparation step. Host approval and the applicable gate checks must still be completed according to your site's process.
